Job Description

As part of the Marketing team, the Marketing Assistant provides administrative and coordination support for pursuit and marketing operations. This role supports the Director of Pursuit Strategy and Development and Pursuit Specialists by assisting with proposal closeout activities, CRM and database management, marketing resource organization, and administrative support functions that contribute to efficient pursuit operations and high-quality marketing deliverables.

Essential Duties & Responsibilities:

    Assist with proposal closeout activities, including saving final proposal and interview documents within the CRM/project management system and organizing supporting pursuit files.
  • Review finalized proposals and interview materials to capture and update project data, resumes, project descriptions, narratives, photos, and other marketing information for master marketing resources and databases.
  • Maintain and update the firm's CRM database with accurate and current project, client, employee, and pursuit information gathered throughout the pursuit process.
  • Organize and maintain marketing files, templates, resumes, project sheets, photography, and resource libraries to support efficient proposal and marketing workflows.
  • Assist with the preparation, formatting, and production of proposals, qualifications packages, presentations, and interview materials as needed.
  • Support the coordination and organization of marketing-related information for strategic initiatives and tracking purposes.
  • Contribute ideas and support process improvements that enhance pursuit efficiency, data accuracy, and overall marketing operations.
  • Assist with additional marketing and communications activities as needed.
  • Consistently follow the organization's safety policies while promoting a positive and collaborative safety culture.

Minimum Qualifications:

  • 1-3 years of experience in a marketing or administrative support role, preferably in the Architecture/Engineering/Construction (A/E/C) industry or other professional services environment.
  • Familiarity with proposal development or marketing collateral creation is preferred.
  • Principles and best practices related to CRM/database maintenance and data management.
  • Strong attention to detail, organization, and document management practices.
  • Knowledge of administrative and organizational practices that support marketing and business development operations.
  • Relevant coursework or certifications in marketing or proposal writing are a plus.

Key Skills

  • Strong and effective communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Adobe Creative Suite (InDesign, Photoshop, and Illustrator) is highly desirable.
  • Compliance with company policy and procedures.
