SUMMARY OF POSITION

The Payroll Specialist is responsible for providing expertise and ownership across all corporate payroll functions. Responsible for end-to-end payroll processing, system administration, and compliance oversight using ADP Workforce Now and Enhanced Time. This role ensures accurate payroll execution, supports time and attendance processes, and ensures compliance with federal, state, and company policies. Role requires a high level of integrity, confidentiality and the ability to work well both independently as well as in a team setting.

Core responsibilities include primary processing of weekly and biweekly payroll and multi-jurisdictional tax compliance. The role works collaboratively with other HR personnel to ensure effective execution of all employee benefits and reward programs.

ORGANIZATION STRUCTURE

The Payroll Specialist reports directly to the Associate Director Human Resources.

RESPONSIBILITIES

  1. Payroll
  1. Serve as the primary point of contact for employees regarding payroll inquiries
  2. Process weekly and biweekly payroll across multiple entities using ADP Workforce Now and Enhanced Time
  3. Audit payroll data for accuracy, including earnings, deductions, taxes, and garnishments
  4. Validate and reconcile payroll prior to final transmission
  5. Administer payroll transactions including direct deposits, checks, and adjustments
  6. Maintain accurate payroll records and earnings history
  1. Time and Attendance (Enhanced Time)
  1. Review and approve employee timecards; resolve exceptions, missed punches, and discrepancies
  2. Support managers and employees with timekeeping corrections and inquiries
  3. Ensure proper application of pay policies, shift rules, and overtime calculations
  4. Manage payroll file imports/exports and system integrations as applicable
  5. Experience with union payroll and timekeeping practices preferred
  1. Compliance
  1. Ensure compliance with federal, state, and local payroll laws and regulations
  2. Maintain current knowledge of payroll tax laws and regulatory requirements
  3. Process and administer garnishments, levies, and tax notices
  4. Prepare and submit required reports, including BLS and OEWS filings
  5. Generate and analyze payroll reports for internal and external stakeholders
  6. Maintain audit-ready documentation and support internal/external audits
  1. HRIS Administration
  1. Maintain and update employee data and payroll-related system records in ADP Workforce Now and associated modules (Enhanced Time, Smart Compliance)
  2. Provide customized payroll and employee reporting to Finance and other departments
  3. Support system updates, testing, and enhancements as needed
  4. Assist with year-end processes, including W-2 preparation and audits
  1. Collaboration, Training & Support
  1. Partner with HR, Finance, and Benefits teams on payroll-related matters
  2. Provide guidance and training to managers and employees on timekeeping and payroll processes
  3. Support employee education initiatives related to payroll (e.g., pay statements, W-2s)
  4. Assist with broader HR functions and projects as needed
  1. Additional HR Generalist Duties assigned

QUALIFICATIONS

  • Experience in payroll processing and administration
  • Experience with payroll systems; ADP Workforce Now and Enhanced Time preferred
  • Strong knowledge of payroll laws, taxes, and compliance requirements

High level of confidentiality and attention to detail

  • Strong auditing, reconciliation, and analytical skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office, particularly Excel
  • Ability to work both independently and collaboratively across all levels of the organization

The anticipated base salary range for this position is $70,000.00 - $75,000.00. This position is eligible for Alvogen's annual discretionary bonus and comprehensive benefits package, consisting of medical and prescription drug coverage (two PPO plans and an HDHP with Health Savings Account and employer contribution), dental, vision, flexible spending accounts. Alvogen's benefits package also includes a retirement savings program, long-term care coverage, paid time off (176 hours per year, prorated to hire date) inclusive of sick time, disability benefits, life insurance, a wellness program, and 13 company recognized paid holidays per year.
