Position Summary
The vision of the Department of Family Medicine is to promote the health of the people of North Carolina and the nation through leadership and innovation in clinical practice, medical education, research, and community service. As an instrument of the State of North Carolina, we are concerned with both current needs and future generations and have a special commitment to the underserved, mothers and children, the elderly, and other populations at risk in a time of rapid changes in the organization of health care. This position provides a wide range of administrative, office, and program support services for the department. Responsibilities support multiple faculty members, projects, and programs and require close collaboration with colleagues to ensure seamless administrative operations. Duties include:

  • Coordinating conference center activities and building operations;
  • Serving as the primary point of contact and providing administrative support for faculty;
  • Managing calendars and scheduling;
  • Processing travel reimbursements;
  • Assisting with coordination of faculty Continuing Medical Education (CME) activities and project budgets;
  • Supporting departmental activities and events;
  • Coordinating project-related communications;
  • Assisting with space preparation for new staff and faculty; coordinating front desk coverage operation;
  • Performing other administrative duties as assigned by the department manager.

Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Management Preferences

  • Previous experience providing administrative support in a professional office environment, planning meetings, managing calendars, and problem-solving.
  • Previous experience using Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
  • Organizational skills, attention to detail, and the ability to exercise sound judgment and discretion, all while prioritizing competing priorities.
  • Ability to exhibit professional interpersonal communication skills, both verbal and written.
  • Ability to maintain effective working relationships with all peers, program-related personnel, and faculty, demonstrating initiative and remaining calm under pressure.
