Assistant Facilities Manager - Bay Area Operations What this job involves:

As an Assistant Facilities Manager supporting JLL's Bay Area operations, you'll play a vital role in managing approximately 400,000 square feet of leased space across two locations-Milpitas as your primary site and San Jose as your secondary. Working closely with the Senior Facilities Manager, you'll help oversee a team of 10 facilities professionals while ensuring seamless operations in ISO 8 cleanroom and GxP-compliant environments. This position offers the opportunity to build advanced expertise in facilities management, regulatory compliance, and team leadership while working under moderate supervision. You'll tackle straightforward operational challenges independently, analyze solutions using established procedures, and collaborate with senior leadership on more complex matters. What your day-to-day will look like:
  • Assist in overseeing comprehensive facilities maintenance programs across both Bay Area sites, ensuring regulatory compliance, optimal building performance, and adherence to ISO 8 cleanroom standards and GxP requirements while coordinating closely with quality assurance teams on environmental monitoring

  • Support the development and growth of a team of 10 facilities professionals by participating in performance evaluations, providing coaching and mentorship, and recommending strategic resource allocation across both locations to the Senior Facilities Manager

  • Serve as a liaison between landlords, contractors, and engineers to support facility improvement projects from conception through completion, ensuring compliance with building codes, ISO 8, and GxP regulations while escalating complex technical or compliance issues appropriately

  • Collaborate with the Senior Facilities Manager to maintain BSI and FDA audit-ready facilities, ensuring documentation meets ISO 13485 and FDA 21 CFR Part 820 requirements, participating actively in internal and external audits, and supporting corrective and preventive action (CAPA) resolution

  • Work with the Senior Facilities Manager to establish and monitor key performance indicators including equipment uptime, maintenance response times, energy consumption, and cost metrics, preparing monthly and quarterly reports with data-driven insights

  • Assist in developing and monitoring annual operating budgets, tracking expenses against forecasts, providing cost-saving recommendations, and preparing ROI analyses and budget proposals for capital expenditures

  • Respond to facility emergencies and operational issues with sound judgment, coordinating swift resolution while maintaining compliance standards and keeping Senior Facilities Manager informed of significant developments

Required qualifications:
  • Bachelor's degree in Facilities Management, Engineering, or related field, or equivalent combination of education and professional experience

  • 5-7 years of progressive facilities management experience with at least 2 years supervising teams or demonstrating leadership capability in facilities operations

  • Proven experience managing facilities of 200,000 square feet or larger with responsibility for multiple building systems and operational functions

  • Hands-on experience with ISO 8 cleanroom operations and GxP compliance standards in regulated manufacturing or laboratory environments

  • Direct involvement in BSI and FDA audit preparation and support within regulated facilities, including documentation management and compliance verification

  • Strong technical knowledge of building systems including HVAC, electrical, plumbing, fire and life safety systems, and building automation systems (BAS)

  • Working knowledge of FDA 21 CFR Part 820 and ISO 13485 quality management system requirements as they apply to facilities operations

  • Proficiency with computerized maintenance management systems (CMMS) and Microsoft Office Suite for reporting, analysis, and project tracking

  • Demonstrated ability to develop, track, and report on key performance indicators and operational metrics for facilities management

Preferred qualifications:
  • Certified Facility Manager (CFM) or Facility Management Professional (FMP) credential demonstrating advanced facilities management knowledge

  • Project Management Professional (PMP) certification indicating formal project management training and methodology expertise

  • OSHA 30-Hour General Industry certification showing commitment to workplace safety and regulatory knowledge

  • ASQ Certified Quality Auditor (CQA) credential providing additional depth in audit processes and quality systems within regulated environments

  • Experience working in life sciences, biotechnology, pharmaceutical, or medical device manufacturing facilities with cleanroom and GxP requirements

Estimated compensation for this position:

87,000.00 - 114,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
