Job Description

Position Summary
The University of Missouri System seeks a highly organized and service-oriented professional to support executive recruitment efforts across our four public university system. This role partners closely with executives/hiring leaders, search committees, and external partners to deliver efficient, high-touch recruitment operations supporting system-wide leadership hiring needs.
The Executive Recruitment Coordinator manages multiple concurrent searches while ensuring a professional candidate experience, consistent processes, and effective coordination across complex stakeholder groups. This position plays a critical role in supporting successful hiring outcomes through strong project management, communication, and operational execution.

Key Responsibilities
* Coordinate full-cycle recruitment operations for leadership and critical staff searches across the University of Missouri System.
* Serve as a key point of contact for candidates, search committees, hiring leaders, and external partners, ensuring timely communication and a professional experience throughout the search process.
* Manage end-to-end interview logistics, including scheduling, travel coordination, and both virtual and on-campus interview experiences involving multi-level stakeholder groups.
* Support search committees by preparing materials, organizing candidate information, and tracking feedback to ensure efficient and well-coordinated decision-making processes.
* Partner with the search recruiter and hiring leaders to ensure recruitment activities are executed consistently and aligned with established processes and expectations.
* Coordinate and monitor external search firm engagements and vendor relationships, including tracking deliverables, managing timelines, and supporting fiscal responsibilities such as invoice review and timely payment processing.
* Develop and maintain recruitment communications, templates, and reports to support transparency and effective coordination across stakeholders.
* Manage updates to UM System Executive Search / search websites and oversee the campus search website content management and updates throughout life of each search.
* Develop, process, and track internal Memorandums of Understanding (MOUs) for search engagements, ensuring accurate documentation, timely approvals, and coordination and tracking of associated payments in alignment with service expectations.
* Administer operational support to the Senior Director of Recruitment as needed, to include calendar management, travel, meeting agenda and materials development and preparation.
* Enhance and maintain centralized recruitment resources (Recruitment Toolkit SharePoint site) to support self-service access to information and reduce administrative burden across the system.
* Utilize AI-enabled tools (e.g., Microsoft Copilot and similar technologies) to streamline administrative workflows, enhance communication, and improve operational efficiency.
* Contribute to continuous improvement efforts through development of standard operating procedures, toolkits, and streamlined processes that support scalability and consistency.
* Maintain strict confidentiality across all candidate, committee, and institutional information.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

Salary Range: $60,944 - $75,000 annually

Grade: GGS-11
