Summary:

Support Legal/Compliance review of all new vendors in the Vendor Evaluation Registration System (VERS), a tool that is managed by the Procurement team.

Vendor compliance due diligence in 1) above: Facilitating submission of vendor due diligence questionnaires, coordinating responses from vendors, reviewing submissions, maintaining punch list, maintaining BVD submissions to appropriate levels, reviewing, and maintaining internal records related to same NA Compliance Policy and Guidance Document Tracking- coordinating posting of policies and guidance documents on intranet.

Responsibilities:



  • Support Legal/Compliance review of all new vendors in the Vendor Evaluation Registration System (VERS), a tool that is managed by the Procurement team.
  • Conduct the compliance analysis of new vendor questionnaires.
  • Validate the vendor in the tool and send a Due Diligence Questionnaire to the vendor to be completed.
  • Facilitate submission and receipt of vendor due diligence questionnaires, coordinating responses from internal teams and vendors, sending follow-up communications, reviewing questionnaires for completeness, maintaining internal tracking of vendor review process via Excel spreadsheet, and maintaining internal records related to same.
  • NA Compliance Policy and Guidance Document Tracking.
  • Coordinate posting of policies and guidance documents on intranet.
  • Assign or update tracking number to document version control.
  • Monitor Department Email Inbox.
  • Track External Questionnaire Submissions and Respond to Same for the Compliance Team using template responses and escalating to counsel when needed.
  • Circulate requests to internal SMEs.
  • Save and file completed questionnaires.
  • Maintain internal tracking of questionnaire submissions via Excel spreadsheet.
  • Respond to compliance questions in the questionnaire.
  • Process invoices and PUMIs, ensuring legal invoices are coded appropriately in GLASS.
  • Maintain annual budget tracking via Excel spreadsheet with vendor details and track the spend to date.
  • Assist with annual training data. Download bi-weekly training records for the previous training cycle from the training system platform to be uploaded in the NA Shared Service Center Learning & Development (L&D) platform to update L&D with completion records.
  • Assist with scheduling and attendance at NA Compliance Training Sessions.
  • Capture employee attendance to be uploaded in the NA Shared Service Center for L&D to update completion records.
  • Review and circulate calls to the Hotline to the Investigation team.
  • Vendor contract renewals - tracking renewal dates and working with Legal to finalize contracts and SOWs with all accessibility vendors.
  • Respond to customer inquiries in collaboration with customer care.
  • Provide administrative assistance to the team as needed, including circulating the weekly report to team members, printing, scheduling meetings, etc.


Requirements:



  • Bachelor's degree or Paralegal Degree/Certificate
  • 5+ years of relevant experience
  • Microsoft Office proficient, especially Advanced Excel skills (pivot tables, lookups, and complex formulas)

  • Verbal and written communication skills, attention to detail, problem-solving, and interpersonal skills.
  • An innate ability to commit to short-term results while forecasting future revenue, and able to be held accountable for both short-term success and longer-term strategy.
  • Strong collaborator who thrives in a fast-paced, entrepreneurial environment.
  • Previous experience with computer applications, such as Microsoft Word and Excel.
