This Senior Proposal Coordinator role is designed for an experienced proposal professional ready to take the next step in their AEC marketing career by leading complex pursuits, guiding proposal strategy, and serving as a trusted resource to business development, technical teams, and fellow marketing team members.

What You'll Do:

As a Senior Proposal Coordinator at MBP, you will lead complex proposals and marketing efforts that support the firm's strategic pursuits. You will collaborate closely with technical teams, business development leaders, and office leadership to develop pursuit strategies, define client-focused win themes, and create clear, compelling, and compliant submissions while ensuring high-quality deliverables from kickoff through submission.



Responsibilities

Key Responsibilities:

    Leading proposals, capabilities packages, and shortlist interview materials from kickoff to delivery
  • Reviewing RFPs and developing compliance matrices, schedules, and quality control plans
  • Partnering with technical staff and business development teams to develop pursuit strategies, win themes, and messaging that align with client goals
  • Writing, editing, and tailoring resumes, project descriptions, firm narratives, executive summaries, and other proposal content
  • Coordinating with teaming partners and subconsultants on complex pursuits
  • Leading go/no-go, kickoff, pink/red team reviews, and proposal debriefs
  • Maintaining accurate data in Deltek Vantagepoint and supporting the development of marketing content and updates
  • Ensuring win themes and messaging are consistent throughout proposals and presentations
  • Using Kantiv AI (formerly Joist AI) and OpenAsset to support content development, organization, and compliance tracking
  • Monitoring opportunity websites and routing strategic opportunities to business development and pursuit leaders
  • Helping implement standards for proposal quality, compliance, and alignment with MBP's brand and style guidelines
  • Mentoring proposal coordinators and sharing best practices across the marketing team
  • Assisting with print production, assembly, and delivery when required

Qualifications

Experience:

  • Prior experience leading proposals for government and private-sector clients; extensive experience in the AEC industry required
  • Strong experience with Federal SF 330, state, and municipal submissions
  • Proficient with Adobe InDesign, Microsoft Office, and experience with Deltek Vantagepoint (or similar CRM) and OpenAsset
  • Proven success managing multiple deadlines, competing priorities, and complex pursuits
  • Minimum of 5 years of AEC proposal experience required

Education/Knowledge:

  • Bachelor's degree in marketing, communications, business, English, or related field,or equivalent experience

Skills and Abilities:

  • Exceptional writing, editing, and verbal communication skills
  • Strong organization, time management, and detail orientation
  • Ability to interpret complex RFPs and develop compliance structures and pursuit strategies
  • Proficiency with Adobe InDesign, Acrobat, and Microsoft Office
  • Experience working in SharePoint and OneDrive environments
  • Ability to collaborate, influence, and build relationships across teams and offices

Guidance/Responsibility:

You will work independently on most assignments while collaborating closely with marketing leadership, business development, office leadership, and technical staff. This role requires initiative, accountability, sound judgment, and the ability to confidently lead complex pursuits while helping maintain proposal quality and mentoring other marketing team members. The base salary range for this position is $82,000.00 to $99,000.00. Actual compensation will be determined based on work location, qualifications, experience, job-related skills, and relevant education or training.
