Job Summary

The Contracts Administrator is responsible for supporting contract administration activities by monitoring customer portals, bid boards, and request-for-quote (RFQ) submissions to ensure purchase orders, bids, and contract-related documents are processed accurately and within established timelines. This role works closely with internal teams and external customers to support contract workflows, invoicing activities, vendor compliance, and process improvements while maintaining a high level of accuracy and customer service.

Job Responsibilities



  • Monitor customer portals and retrieve purchase orders (POs) for timely distribution to internal stakeholders.
  • Monitor RFQ submissions, bid boards, and proposal opportunities, ensuring timely communication and processing.
  • Coordinate with sales and contracts teams to support RFQ responses and contract activities.
  • Process vendor registration requests, customer surveys, certificates of insurance (COI), and related documentation.
  • Assist with invoicing activities, including Wide Area Workflow (WAWF) billing support.
  • Track purchase order invoicing to ensure timely completion and compliance with customer requirements.
  • Maintain accurate contract documentation and records.
  • Collaborate with internal departments and external customers to resolve contract-related inquiries.
  • Recommend and support process improvements to enhance contract administration efficiency.
  • Assist with additional contract administration projects and special assignments as needed.
  • Ensure all work is completed accurately and within established service level agreements (SLAs) and key performance indicators (KPIs).


Job Requirements



  • Minimum of two (2) years of experience in contract administration, subcontract administration, or a related contracts support role.
  • Experience working with customer portals, bid boards, purchase orders, and RFQ processes.
  • Experience supporting contract documentation and invoicing activities.
  • Strong attention to detail with a high degree of accuracy.
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Strong interpersonal and customer service skills.
  • Professional written and verbal communication skills.
  • Ability to work collaboratively with cross-functional teams.
  • Experience with WAWF billing is preferred.
  • Knowledge of vendor registration processes and certificate of insurance (COI) documentation is preferred.


Education



  • Bachelor's degree required.
