Job Summary
The
Office of The Registrar at CU Boulder invites applications for a
Process Coordinator! There are two positions to be filled. This role is part of the Systems & Data Services team within the Office of the Registrar, a unit that exists to provide student information system analysis, development, reporting, and support for the CU Student Integrated Systems as it relates to records and registration. Responsibility for triaging and processing records and registration requests submitted from campus partners, as well as managing the automated scheduled processes, both of which ensure the integrity of the student record from matriculation to conferral. The processing will be almost exclusively within PeopleSoft Campus Solutions, but may include Hyland OnBase for document management, COGNOS for data reporting, and our degree audit system. This position must maintain confidentiality in all applicable policies, rules, regulations, and laws, including Office of the Registrar policies, University policies, and Family Educational Rights and Privacy Act (FERPA).
This is a 3-year limited-term position.

What Your Key Responsibilities Will Be
Student Record Operations Support and Triage:
- Analyzes complex student records and enrollment situations to determine appropriate corrective actions in accordance with university policies, academic rules, and established procedures.
- Evaluates discrepancies identified through audits, census reporting, and system reviews to determine root causes and implement appropriate resolutions.
- Balances competing priorities and partner needs when coordinating record corrections and enrollment-related changes across campus partners.
- Manages an array of student and administrative records adjustments in campus solutions including: plan sequence clean-up, waitlist purges, LAW bidding enrollment, LAW level adjustments, variable session drop date adjustments, advisor processing, academic standing, grading, dean's list, I to F processing, graduated but enrolled processing, cumulative stats clean-up, student milestones, duplicate record resolution, un-merging of merged student records.
- Manage review and assignment of registration holds.
- Reviews census reports provided by Institutional Research and works with partners around campus to reconcile inconsistencies.
- Processes change requests for students in the Bachelors-Masters accelerated program (BAM).
- Maintains accurate business process documentation.
- Troubleshoots issues identified internally and/or reported by constituents.
- Ensures S&D Service Level Agreements are met.
Student Records Operations Process Management:
- Determines appropriate scheduling and sequencing of critical Campus Solutions batch processes to ensure data integrity and operational continuity; areas include matriculation, term activation, waitlist processing, new student orientation, National Student Clearinghouse reporting, registration related communications, records related Campus Solutions 3Cs, CU Boulder on Coursera enrollment processes, graduate candidacy milestones, grading processes, COF processes.
- Evaluates run controls, job criteria, and process dependencies to identify potential issues before production execution.
- Exercises judgment when troubleshooting batch processing failures, data discrepancies, and system errors, determining when issues can be resolved independently and when escalation is required.
- Makes recommendations for process improvements, documentation updates, and operational efficiencies based on analysis of recurring issues and business needs.
- Collaborates with technical and functional partners to determine appropriate solutions for complex processing and systems-related challenges.
- Engages UIS Production Services to confirm accurate set-up.
- Validates run controls and job criteria with SDS business analysts.
- Maintains accurate business process documentation.
- Ensures S&D Service Level Agreements are met.

- The annual hiring range for this full-time position is $62,400 - $64,000.

What We Require
- Bachelor's degree from an accredited four-year institution; equivalent experience and education may substitute.
- One year of experience in student records administration, enrollment services, registrar operations, or a related area.
- Experience managing time-sensitive and confidential information with a high degree of processing accuracy, attention to detail, and responsiveness to customer needs.

- Evaluates process dependencies, identifies potential risks, troubleshoots operational issues, and determines appropriate actions to ensure accurate, timely, and reliable processing of student and institutional data.
- Independently resolves routine issues and escalates complex problems when necessary.

- Strong interpersonal skills, professionalism and tactfulness.
- Ability to work effectively and collaboratively in a close team environment with ongoing collaboration and on various interconnected projects.
- Knowledge of principles and procedures involved in handling sensitive data.
What We Would Like You to Have
- Experience in a university registrar's office, or a university enrollment management or student services office (e.g., financial aid, admissions, bursar).
- Experience using PeopleSoft Campus Solutions or another student information system.
