Operations Coordinator - Medical Operations

Seeking Operations Coordinator - Medical Operations for U.S. Government Support - Iraq (Baghdad & Erbil)

Cherokee Federal is recruiting experienced Operations Coordinator - Medical Operations to support U.S. government medical operations in Iraq. Provide medical-surgical, general, emergency, and specialty nursing support at the Diplomatic Support Hospital or Consulate General Erbil Health Unit. The Operations Coordinator - Medical Operations provides day-to-day administrative and operational coordination for Mission Iraq medical services. This position supports staffing accountability, credential tracking, reporting, scheduling, deployment/readiness coordination, medical operations documentation and communication between clinical personnel, project leadership and the customer.

The ideal candidate combines strong medical operations knowledge with exceptional administrative, scheduling, reporting and coordination skills.

** This role Is contingent upon award.

** Secret Clearance Is Preferred Or ability to obtain required clearance for the role

** Per contract, candidate required to work more than 10 hours as regular shift / Overtime hours / holidays and weekends

** This role required 50% Travel to OCONUS.

Compensation & Benefits:

Estimated Starting Salary Range for Operations Coordinator - Medical Operations: Pay commensurate with experience.

Full-time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice.

Responsibilities Include:

  • Coordinate daily operations supporting the Diplomatic Support Hospital and Health Unit.

  • Maintain daily staffing and personnel-accountability information for Baghdad and Erbil.

  • Monitor staffing schedules, rotations, R&R, deployment, mobilization and demobilization activities.

  • Assist leadership in maintaining continuous medical coverage and identifying upcoming staffing gaps.

  • Track employee credentials, professional licenses, certifications, training requirements and medical clearances.

  • Maintain accurate personnel records while ensuring proper handling of PII and HIPAA-controlled information.

  • Coordinate Nomination Packet documentation, including resumes, credential verification, licenses and certifications before deployment.

  • Support candidate/pre-deployment tracking for MRPT/security vetting, medical clearance and onboarding requirements.

  • Coordinate scheduling and administrative support for clinical operations, medical training and meetings.

  • Maintain operational trackers, staffing spreadsheets, credential matrices and deployment-readiness reports.

  • Prepare and coordinate required daily and monthly reports.

  • Assist with Personnel Status and Accountability Reports, Operations Reports, SitReps, staff credential reports, medical-clearance reports and other contract deliverables.

  • Track unplanned vacancies and ensure proper notifications are issued within contractual timelines.

  • Coordinate information between medical leadership, recruiting, HR, PMO and deployed personnel.

  • Assist with incident-reporting documentation and tracking.

  • Support medical evacuation documentation, personnel-movement coordination and administrative requirements.

  • Coordinate documentation associated with MASCAL exercises, training and operational-readiness activities.

  • Maintain SOPs, administrative files, correspondence and operational documentation.

  • Monitor credential/certification expiration dates and alert appropriate management before expiration.

  • Support audits, QA/QC reviews and compliance activities.

  • Perform other medical-program operational and administrative duties as assigned.

Experience, Education, Skills, Abilities requested:

Required Qualifications

  • Associate degree in Healthcare Administration, Health Sciences, Nursing, Emergency Medical Services, Business Administration or related discipline.

  • Minimum 3 years of healthcare, medical administration or healthcare operations experience.

  • Experience supporting clinical/medical personnel and maintaining confidential records.

  • Experience with scheduling, staffing coordination, reporting and document management.

  • Strong knowledge of Microsoft Excel, Word, Outlook and related business applications.

  • Demonstrated ability to manage multiple urgent priorities in a fast-paced environment.

  • Fluent written and spoken English.

  • Basic understanding of HIPAA/medical-information confidentiality.

Required Certifications:

  • Must satisfy applicable USG security-vetting/MRPT requirements if deploying.

  • Must meet applicable medical/fit-for-duty requirements if assigned in-country.

Preferred Qualifications

  • Bachelor's degree in healthcare administration, Health Sciences, Nursing, Public Health, Business Administration or related discipline.

  • 5+ years supporting healthcare operations.

  • Previous hospital, emergency department, military medicine or international medical-support experience.

  • Experience supporting DoS, DoW, Embassy, federal contracting or OCONUS operations.

  • Experience with clinician credentialing, licensure/certification tracking and pre-deployment processing.

  • Experience with medical evacuation, EMS, emergency-management or MASCAL administrative coordination.

  • Familiarity with staffing medical professionals across multiple specialties.

Preferred Certifications:

  • BLS

  • Certified Medical Administrative Assistant or equivalent healthcare administration credential

  • CAPM/PMP or project-management training

  • HIPAA/privacy training

  • Must pass pre-employment requirements of Cherokee Federal.
