We are seeking an experienced Executive Administrator to provide high-level support to senior leaders by managing schedules, travel, communications, meetings, and key administrative priorities. We are seeking an experienced Executive Administrator to provide high-level support to senior leaders by managing schedules, travel, communications, meetings, and key administrative priorities. This role serves as a trusted partner to leadership, helping ensure day-to-day operations run smoothly while maintaining exceptional organization, professionalism, and attention to detail.

Responsibilities

  • Draft executive level correspondence; prepare letters, reports, minutes, proposals, expense reports, financial reports, presentations and other materials as requested.

  • Coordinate travel arrangements including booking airfare, hotel and transportation accommodations consistent with company policies and guidelines.

  • Maintain executives' electronic schedule to coordinate meeting times, conferences, travel arrangements and appointments.

  • Prepare executives for meetings, ensure that all documents are prepared in a timely and accurate manner.

  • Coordinate meeting logistics including providing discussion materials for all participants, facilitating room set-up and tear down and ensuring needed equipment is operating.

  • Answer telephone for the executives; take and distribute messages to appropriate personnel, respond to inquiries from clients, vendors and personnel within scope of expertise.

  • Maintain both electronic and physical file copies in an orderly and retrievable fashion.

  • Complete special projects including researching, collecting information and reporting findings.

Qualifications

Required

  • At least 7 years of relevant work experience

  • Exceptional attention to detail

  • Strong verbal communication skills

  • Ability to balance and prioritize multiple tasks

  • Strong teamwork and collaboration skills

Preferred

  • Bachelor's degree or equivalent work experience
