Job Summary

Administrative Coordinator - Pulmonary & Critical Care

Join the MGH Pulmonary & Critical Care team as an Administrative Coordinator and help deliver a seamless experience for patients, providers, and clinical staff.

Reporting to the Practice Manager, you will play a key role in coordinating durable medical equipment (DME), supporting clinic nursing staff, and keeping essential administrative processes moving efficiently.

What You'll Do

*Coordinate the timely ordering, documentation, and data entry of DME and related supplies.

*Serve as the primary point of contact for patients, providers, clinical staff, and vendors on DME-related matters.

*Provide responsive, high-quality customer service and act as a liaison for incoming calls.

*Support care coordination with triage nurses and provide administrative assistance to clinic nursing staff.

*Schedule patient appointments, diagnostic testing, and referrals, and assist with managed care-related needs.

*Organize competing priorities, resolve administrative challenges, protect confidential patient information, and serve as a resource for support staff.

What You'll Bring
  • High school diploma or equivalent required; associate's degree in Business Administration or a related field preferred
  • Experience cannot be substituted for the required education
  • Five to seven years of administrative experience required, preferably in a healthcare setting
  • One to two years of experience supporting senior-level staff preferred
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Excellent verbal and written communication skills
  • Strong organization, multitasking, attention to detail, and problem-solving abilities
  • Ability to work independently with minimal supervision
  • Familiarity with hospital administration processes and healthcare regulations
  • Professional demeanor and ability to interact effectively with staff at all levels
