Job Description

The Department of Medical Pharmacology and Physiology at the University of Missouri School of Medicine invites applications for an Office Support Assistant IV. We are seeking an organized, dependable, and service-oriented professional who enjoys working with faculty, staff, students, and visitors in a collaborative academic environment.

This position plays an important role in the day-to-day operations of the department, providing a broad range of administrative and office support. The successful candidate will be comfortable managing multiple priorities, working independently, and providing excellent customer service while supporting the department's academic, research, and administrative activities.

Key Responsibilities

Administrative & Office Support

  • Serve as a welcoming point of contact for the department by greeting and assisting faculty, staff, students, and visitors.
  • Answer the department's main phone line and provide backup coverage for other staff lines as needed.
  • Assist faculty, staff, and students with conference room scheduling and coordinate Zoom meetings.
  • Receive incoming and outgoing packages and collect and distribute departmental mail.
  • Assist with copier and fax issues, service requests, and work orders.
  • Maintain and update departmental inventory.
  • Order supplies and equipment for faculty and staff as needed.
  • Provide administrative support on special projects and other departmental initiatives, often working independently to coordinate details and meet deadlines.

Faculty & Program Support

  • Work one-on-one with faculty to provide administrative support for a departmental pilot program.
  • Support the department's graduate program, including maintenance of program information and databases.
  • Assist with student courses, permissions, and other academic program needs.

Seminars & Events

  • Coordinate departmental seminar activities, including scheduling weekly speakers.
  • Coordinate speaker travel arrangements, itineraries, meals, meetings, and other logistical needs.
  • Communicate with faculty, speakers, and other participants to help ensure successful seminar visits and events.

Communications & Web Support

  • Compose and coordinate the department's semi-annual newsletter.
  • Maintain and update the department's intranet and internet content to help ensure information remains current and accurate.
  • Assist with departmental communications and other materials as needed.

What We're Looking For

The ideal candidate will be highly organized, detail-oriented, and able to successfully manage a variety of responsibilities in a busy academic environment. This individual should possess strong communication and customer service skills, be comfortable learning and using technology, and have the ability to work both independently and collaboratively with faculty, staff, and students.
The successful candidate will demonstrate strong organizational and time-management skills, sound judgment, initiative, professionalism, and the ability to prioritize responsibilities while maintaining attention to detail.

Additional duties may be assigned as needed to support the department and its mission.

Shift

Monday - Friday
8:00 a.m. - 5:00 p.m.
With the ability to be flexible when needs arise.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Education: An associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary. Experience with PeopleSoft, including myZou is preferred.

Anticipated Hiring Range

Salary Range: $15.10 - $21.89 hourly
Grade: GGS - 006
