| Brief Summary of Work for this Position |
The Business Services Coordinator supports the day-to-day business, financial, and administrative operations of
OLLI at
UNCW. This position manages responsibilities including budgeting, purchasing, financial transactions, personnel processes, facilities coordination, and operational support.
Working within university policies and procedures, the coordinator helps ensure resources are managed accurately and efficiently to support OLLI's programs and priorities. Success in this role requires strong organization, attention to detail, sound judgment, effective communication, and the ability to manage multiple priorities in a collaborative environment.
This position will be responsible for a variety of tasks, including:
- Managing travel (domestic and international), which involves booking airfare and rental cars, processing prepaid payments, and reimbursements.
- Coordinating purchasing, receiving, and reconciliation, including UNCW Card transactions.
- Processing external invoices and check requests.
- Identifying needs for financial adjustments and preparing budget documents which include budget revisions, journal entries and IDI's.
- Processing payroll assignments for part-time faculty, students, temporary employees, and independent contractors.
- Tracking course pay data and preparing excel spreadsheets to monitor all pay actions and PO's.
- Managing work orders, surplus, computer and key inventory, building access, and recycling.
- Submitting and tracking AiM and ITS ticket requests.
- Managing and reconciling funding sources for OLLI.
- Maintaining training resources, instructional materials and financial documentation.
- Working with the Director of OLLI to develop new processes and implement process improvements.
- Assisting with OLLI programs.

| Minimum Education and Experience Requirements |
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
| Preferred education, professional skills and experience |
- Experience with financial and business operations, preferably in higher education or a similarly complex organization.
- Strong experience supporting budgeting, reconciliation, purchasing, accounts payable/receivable, travel, payroll, and contracting.
- Strong financial and analytical skills with a high degree of accuracy and attention to detail.
- Ability to identify discrepancies, research and resolve issues, and follow transactions through completion.
- Proficiency with Microsoft Excel and experience learning and effectively using multiple administrative systems, such as Banner, uShop, Emburse, or comparable platforms.
- Ability to manage competing priorities independently, exercise sound judgment, and adapt to changing business and operational needs.
- Strong communication and interpersonal skills with the ability to collaborate effectively with faculty, staff, vendors, and university partners.
