This is a hybrid position located in Anderson Hall on the Twin Cities West Bank campus, working on campus at least three days per week (generally Tuesday - Thursday) and other days as needed for in person work activities.

Salary Range for this position is $70,000 - $85,000 depending on experience and qualifications.

The LATIS Administrator manages the administrative operations (fiscal, HR, office administration, etc.) of a large (40+ staff, seven teams) service unit and is responsible for the proactive execution of projects and processes in a fast-paced, dynamic, and growth-oriented environment. This position is a member of the senior Leadership Team and reports to the Assistant Director of Leadership and Organizational Development). The LATIS Administrator ensures the effective operation of CLA internal grant programs and key business functions for the LATIS Strategic Innovation Office and is responsible for CLA's Infrastructure for Learning (IFL) technology grant program; overseeing the college Software, Hardware and Equipment budgets; and managing CLA's Computer Replacement Programs. Additionally they provide hosting support for the CLA Administrative Leaders Program (ALP) and other events hosted by the Strategic Innovation Office. The person in this position will have a high level of collaboration with the CSIO and Director of Leadership and Organizational Development and works closely with the JHub Shared Administrative Services Team in CLA Administration to coordinate the financial and hiring transactional work for the unit.

A successful person in this role is a self-motivated and strategic thinker with ability to be flexible and adaptive to changing work direction and priorities. They are able to collaborate effectively with administrative staff across all CLA departments and with internal partners in LATIS. They have the ability to exercise independent judgment while working effectively with others in a team. A successful member of the team will have a habit of anticipating needs and identifying problems then providing solutions.

Responsibilities:

Leadership and Department Management (20%)

  • Partner with the LATIS leadership team to develop strategic plans and set unit priorities that align with overall CLA strategic goals.
  • Plan and oversee the execution of complex special projects for the unit, including managing assigned project staff, timelines, and budgets.
  • Serve as host of LATIS spaces and events. Manage shared calendar for 110, 130 and 150 Anderson. Serve as unit contact for event reservations.
  • Direct department-wide facilities management services, space allocations, building access, and service requests to Facilities Management.
  • Develop space utilization plans, manage furniture and technology inventory in shared rooms, and streamline workflows to maximize productivity while minimizing expenses.
  • Represent LATIS, and the Strategic Innovation Office to the broader college, University communities, and external stakeholders.
  • Represent the unit at collegiate administrator meetings, regional group sessions, university committees, and institutional task forces
  • Establish strategic action plans to advance unit goals, evaluating operational challenges and implementing creative problem-solving measures.

LATIS Program Management (40%)

  • Manage CLA college-level innovation Grant Programs. Develop and oversee internal marketing, administrative, and operational arrangements, including scheduling, coordinating committee participants, and budget. Control budget allocations and timeline for grant recipients.
  • Gather, compare, and analyze data to make recommendations for process improvements and future program offerings in the program.
  • Summarize and distribute reports to participants and college management; estimate costs, work efforts, schedules, and set deadlines. Make informed decisions that are financially responsible and justifiable in accordance with the grant program's policies.
  • Collaborate with unit leaders and teams for each program.
  • Facilitate and coordinate all project related meetings.
  • Manage communication plans for program announcements, important dates and deadlines, notification letters, and follow up communications to stakeholders.
  • Document decisions, coordinate award letters to recipients, approve purchases and reimbursements.
  • Track decisions and purchases year-to-year by department. Prepare reports and provide relevant data to make informed decisions.
  • Oversee the management of the CLA technology infrastructure budgets: College Software licenses and college server/hardware, CLA Computer Replacement Programs (CRP and CRP-Flex) including planning, administrative processes, budgeting, coordination with University partners, and communication.
  • Lead the development of new CRP sub-programs for the effective and sustainable distribution of computers to all employees.
  • Manage purchasing process with the Bookstores, OIT, and CLA units to ensure units are informed of updates or changes to computer purchasing processes.
  • Create and maintain training guides and instructions for procuring technology equipment and software.
  • Advocate for the needs of CLA faculty, staff, and students in U-wide technology purchasing governance processes.
  • Monitor purchases and audit chartstrings to ensure compliance with policies and procedures and responsible spending.

Fiscal (20%)

  • Responsible for fiscal activities including budgeting, managing expenditures and forecasting.
  • Serve as primary contact and liaison between LATIS and J Hub Shared Administrative Team to complete all financial transactional work for the unit. Monitor purchases and audit chartstrings to ensure compliance with policies and procedures and responsible spending.
  • Coordinate the development of the annual operation budget with CSIO, leadership team, and senior accountant.
  • Develop, plan, and implement budgets for the LATIS functional units with different funding sources in close communication with unit managers.

Human Resources (20%)

  • Partner with the Chief Strategic Innovation Officer (CSIO) in making strategic human resources planning decisions for the unit through close communication and partnership with CLA Fiscal Administration, CLA Human Resources and the J Hub Administrative team.
  • Coordinate hiring process through J Hub Shared Administrative Team, CLA HR and OIT HR (where needed) including Undergrad, Grad, and Full-time employee hiring processes. Serve as primary contact and liaison between LATIS and JHub Hiring Team.
  • Coordinate onboarding and offboarding process for new employees.
  • Develop recruitment strategies to secure talent that strengthens LATIS functional units.
  • Partner with unit managers to make strategic hiring decisions based on resources.
Qualifications

Required

  • BA/BS degree plus at least four years of experience in administration, human resources, management or a combination of related education and work experience to equal at least eight years
  • Demonstrated expertise in CLA-specific operations.
  • Project management experience and training

Preferred

  • Liberal Arts degree or demonstrated interest in the Liberal Arts.
  • Experience in a CLA unit.
  • Self-motivated and strategic thinker with ability to be flexible and adaptive to changing work direction or priorities.
  • Excellent interpersonal, organizational/detail-oriented, problem-solving, and time management skills.
  • Ability to handle multiple projects with competing priority and ability to work effectively both independently and as a member of a team.
  • Knowledge of University of Minnesota administrative policies regarding financial operations, hospitality, and purchasing.
  • Demonstrated ability to establish and maintain collaborative working relationships with all internal and external stakeholders from diverse backgrounds at all levels of the organization.
  • Knowledge of Art of Hosting or other hosting skills.
