We're looking for an Executive Assistant who combines strong organization and project coordination skills with sound judgment, business curiosity and a genuine interest in helping others succeed. Your background may be in executive support, project management, program coordination or business operations. You do not need to have held an Executive Assistant title to be considered.

Reporting to our Chief of Staff, you'll support multiple members of our Executive Leadership Team across functions including HR, Legal, Corporate Communications/Investor Relations, Finance and Integration. You'll learn their priorities, coordinate important processes and help turn direction into action.

Hands-on executive support is central to this position, including calendars, travel, expenses and meeting coordination. Alongside those responsibilities, you'll own recurring processes, coordinate executive-sponsored assignments and anticipate what needs to happen next.

What You'll Do

  • Provide hands-on executive support. Manage complex calendars, coordinate business travel and expenses, arrange internal and external meetings, and draft polished correspondence. Balance competing priorities while protecting executive time and attention.
  • Own defined projects and administrative processes. Translate direction into clear next steps, timelines and follow-up. Coordinate contributors, track deadlines, address obstacles and keep assigned work moving through completion.
  • Run the leadership meeting coordination process. Following the Chief of Staff's agenda and content direction, independently manage scheduling, logistics, presentation deadlines and contributor follow-up. Review submissions for completeness and consistency, assemble the final deck and prepare materials for final review.
  • Create effective executive materials. Develop, organize and refine PowerPoint presentations, meeting materials and communications that are clear, professional and ready for their intended audience.
  • Keep recurring commitments on track. Own the Finance operating calendar, coordinate recurring meetings and annual scheduling requirements, and look ahead to anticipate future needs.
  • Understand priorities and drive follow-through. Participate in appropriate team meetings, learn each executive's business and working style, and recognize actions that need attention. Confirm expectations when needed, track open items and follow through without repeated direction.
  • Coordinate meetings, events and group logistics. Organize executive meetings, workshops and occasional larger leadership gatherings, including rooms, invitations, meals, audiovisual needs, lodging and group travel. Partner with IT and Facilities as needed.
  • Support executive operations across functions. Assist with delegated Board administrative processes, Investor Relations meeting coordination, Legal document coordination, Foundation tickets and events, and executive-sponsored special assignments.
  • Use judgment and improve how work gets done. Resolve appropriate issues independently, bring context and potential solutions when input is needed, and coordinate with the Chief of Staff on changes affecting broader executive priorities. Collaborate with another Executive Assistant and supporting teams to strengthen processes and use technology thoughtfully.

Throughout your work, you'll handle confidential, sensitive and privileged information with exceptional care and discretion.

What You'll Bring

We welcome experienced executive assistants and candidates with transferable experience in project management, program coordination or executive-facing operations. Success in this role requires both the ability to coordinate meaningful work and a genuine interest in the day-to-day responsibilities of executive support.

  • Relevant experience working with senior leaders in executive support, project management, project or program coordination, executive operations, or a comparable business role.
  • Strong project coordination and organizational skills, including managing timelines, coordinating contributors, tracking action items and following through on commitments.
  • The ability to turn direction into execution, work independently, balance competing stakeholder needs and adapt when priorities change.
  • Strong PowerPoint and Microsoft 365 capabilities, with the ability to create and refine professional executive presentations and materials.
  • Excellent communication, judgment and discretion, including knowing what to resolve independently, what can wait and when to seek input.
  • Business curiosity, emotional intelligence and a service mindset, with a calm, respectful and solutions-oriented approach to people at every level.
  • An interest in improving processes and using technology responsibly, including AI and automation tools that support efficiency and productivity.

Direct C-suite support and experience supporting multiple executives are preferred, but not required.

A bachelor's degree is not required. Demonstrated capability and relevant experience are more important.

Work Arrangement and Expectations

This is a full-time, in-office position at our Columbus, Ohio corporate headquarters. It is not a hybrid role. Reasonable flexibility is available when personal needs or appointments arise.

The role primarily operates during normal business hours, with some flexibility expected for time-sensitive matters outside those hours, particularly changes affecting the following day's executive schedules. Occasional business travel may be required but is not expected to be routine.
