Job Summary

The Events Administrator under the supervision of the QBI Director of Communications and Events to learn professional aspects of event planning and production. Assists in planning and organizing internal and external business-related functions, events sponsored by center grants, workshops, outreach events, symposiums, conferences, social events, banquets, and VIP briefings. May independently manage small, non-complex events such as all-hands meetings and seminars. Support QBI center grants training programs in best practices by calendaring and advertising training events with diverse learners, collecting and disseminating training material, and evaluating the impact of trainings.

The ideal candidate will have volunteering experience and a strong work ethic and a high level of integrity, interacting well with community groups, scientists, and diverse populations, including patient advocates, teachers, and students. This incumbent must also have an understanding of deliverables needed for institutional grants. Key characteristics of a successful candidate are a collaborative style, an entrepreneurial approach, and the ability to navigate a highly complex organization.

Tasks/functions/responsibilities:

  • Plan and organize event activities, including managing logistics such as facilities, audience management activities, caterers, and vendors, facilitation of communication and services with speakers and facility maintenance staff
  • Provide technical support at meetings and events
  • Manage virtual events using Zoom
  • Create and distribute event invitations, event list management, and RSVP tracking and reporting
  • Create and manage event budgets
  • Oversee on-site set-up and attendance
  • Manage virtual events using Zoom
  • Prepare post-event analysis and reporting
  • Communicate effectively and efficiently with professional staff about event arrangements
  • All other duties as assigned or required.

***NOTE: This is Full time 1-year Contract role; fully on-site.

Department Description

The Quantitative Biosciences Institute (QBI) is an Organized Research Unit (ORU) at UCSF that seeks transformative results in biomedicine; QBI supports fundamental quantitative research in the biological sciences. QBI fosters collaborations across the biomedical and the physical sciences, seeking quantitative methods to address pressing problems in biology and biomedicine. Motivated by problems of human disease, QBI is committed to investigating fundamental biological mechanisms, because ultimately solutions to many diseases have been revealed by unexpected discoveries in the basic sciences.

The Dean's Office, School of Pharmacy is the main functional arm for administration and operations at-large for the School of Pharmacy. The School of Pharmacy is a 100M+ organization. The School of Pharmacy operates in various campus locations within San Francisco and in addition, has remote sites across California. The School comprises of 3 main academic departments (Clinical Pharmacy, Bioengineering and Therapeutics Sciences, and Pharmaceutical Chemistry), 1 operational department that houses several subunits (Web and Communications, Student Curricular, Education, Educational and Informational Services, and Finance and Administration) and 1 Organization Research Unit (ORU) that is QBI.

Required Qualifications


  • Bachelors' degree in related area and / or equivalent experience / training.

Preferred Qualifications


  • Knowledge of concepts and principles of effective event planning and production and public relations.
  • Basic knowledge of the campus, its mission, vision, goals, objectives, achievements and infrastructure.
  • Organizational skills to effectively coordinate and track multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.
  • Written and interpersonal communications skills, including tact and political acumen, and skill in effectively representing the campus to its publics. Excellent written and verbal skills to effectively support team priorities.
  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management.
  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.
  • Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.
