Essential Job Duties
Are you a highly organized, proactive professional who thrives in a fast-paced executive environment? If so, we invite you to join the team at North Carolina State University as Executive Assistant to the Vice Provost for University Data & Analytics ( UDA).
In this pivotal role, you will serve as the right hand to the Vice Provost-ensuring smooth daily operations, supporting strategic initiatives, and acting as a liaison across the university. This is an opportunity to make a meaningful impact while working at the center of leadership, data strategy, and institutional decision-making. As the Executive Assistant, you will be a trusted partner to the Vice Provost, providing high-level administrative and strategic support.
Key responsibilities include:

Vice Provost Support

  • Manage a complex and fast-paced executive calendar, ensuring strategic alignment of priorities.
  • Draft and manage executive correspondence in accordance with university policies and procedures.
  • Serve as liaison between the Vice Provost, direct reports, university leadership, and external partners.
  • Research, synthesize, and prepare briefing materials, reports, presentations, and travel documentation.
  • Coordinate and support committees chaired by the Vice Provost, including scheduling, agenda development, materials preparation, minute-taking, and tracking action items.
  • Support UDA administration as directed, including budget, financial, and HR processes.
  • Interpret and apply NC State and UNC System policies with sound judgment and discretion.
  • Anticipate challenges, identify solutions, and proactively support executive decision-making.
  • Collaborate closely with the Office of the Executive Vice Chancellor and Provost and other administrative units.


UDA Unit Support

  • Partner with the UDA leadership team on strategic initiatives and special projects.
  • Coordinate UDA events and programs, including research, planning, communications, and on-site support.
  • Maintain and update the unit's website to ensure accurate and timely content.
  • Provide administrative coordination for leadership team committees, including scheduling, documentation, and follow-up.

Office Management

  • Oversee daily office operations, including purchasing, equipment and supply management, and contract recordkeeping.
  • Manage and reconcile travel in compliance with university policies.
  • Serve as facilities liaison for space planning, maintenance, furniture, and equipment needs.
  • Partner with Business and HR operations to support reporting, budgeting, and personnel processes.

Other Responsibilities
  • Employee will be expected to participate in coverage for the Provost's Office front desk as needed for as long as the Vice Provost's office remains in Holladay Hall.
Qualifications






Minimum Education and Experience
  • High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • Demonstrated ability of handling confidential information.
  • Calendar experience.
  • Ability to understand and apply the unit and organization mission and strategic goals, the programmatic nature, and the cultural environment.
  • Strong communications skills with multiple levels of audiences using a variety of media tools.
  • Proven ability to work collaboratively on a team with a broad group of academic and non-academic staff and administrators.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently with minimal supervision and a high degree of accuracy.
  • Ability to multitask.
  • Ability to use discretion and exercise judgment.
  • Demonstrated proficiency with Google Suite, Microsoft Excel, Word, and PowerPoint.
  • Ability to learn new software programs and technology.
  • Demonstrated ability to create high level reports.
  • Ability to organize meetings and events.
  • Ability to work remotely.

Preferred Qualifications

  • Professional experience in higher education.
  • Experience with event planning and execution.
  • Experience in drafting communications and reports.
  • Budget experience in downloading and understanding expense reports.
