PRIMARY FUNCTION: As part of OCPD Senior Staff, responsible for the management, accreditation and implementation of CE certified activities at Jefferson including establishing needs assessments/educational needs, planning, marketing, implementing, financing, and related activity needs, includes primary responsibility for overseeing / managing live and internet-live activities. ESSENTIAL FUNCTIONS:
- Manages the implementation of planned Jefferson activities from conception, through needs assessment, educational design, budget creation, funding, and post activity reporting in accordance with accreditation and other requirements.
- Directs the work of CE Planners.
- Oversees selected activity-related fund raising (educational grants and exhibit solicitation) for assigned activities. Identifies potential funding sources, develops and implements fund raising timetable for each activity, develops grant proposals and submits them. Supports the management of received grant/vendor funds, including reconciliation and activity close out.
- Creates budgets for courses and oversees all aspects of activity revenue and expenses, with responsibility for budgeting, maintaining activities within budgets, reviewing and completing activity financial and accreditation closeout processes.
- Assures compliance of Jefferson continuing education activities with accrediting body and university standards.
- Educate faculty as it relates to the planning process for courses.
- Develops and implements procedures/processes related to job function to support streamlined, efficient operations
- Interacts with co-workers, visitors, and other staff consistent with the iSCORE values of Jefferson
OTHER FUNCTIONS AND COMPETENCIES:
- With the assistance from course planners, develop and /or edit needs assessments into full educational grant proposals and submit to relevant funders. Track deadlines and individual grantor requirements, and prepare grant documents for submission. Manage receipt of grant funds and prepare reconciliation documents for post-activity reporting to grantors
- Advise course planners on all matters related to a proposed/planned activity, including accreditation requirements, marketing, funding, educational, and evaluation strategies; implement strategies. Champions innovation in educational design of live activities. Under minimal supervision, writes and edits CE grant proposals, synthesizing multiple sources of information as needed.
- Develop activity budgets, obtain course planner approvals, and then monitor activity for budgetary compliance. Oversee financial health of assigned educational activities. Keep course planners informed as to financial status of activity. Oversee financial health of assigned educational activities.
- Utilize OCPD Learning Management System (LMS) to create, promote, and manage OCPD educational activities
- Assign selected activity-related tasks to OCPD staff, maintaining responsibility for timely and accurate completion of tasks and completion and quality of activity provided.
- Liaise with internal and external staff in the development, funding, implementation, monitoring and reporting on all assigned activities.
- As part of the OCPD Senior Staff Team,
o Review and assign responsibility for activities to OCPD staff members, balancing workloads, abilities, and special needs. o Develop OCPD policies and procedures related to standards for use of technology and other OCPD services in the course of daily operations.
- Assures adherence to all accreditation requirements and reporting, legal and regulatory requirements, and University policies related to approved activities. Assures completion of required documentation
- Assist the Assistant Provost on as as-needed basis in all aspects of Jeffersonrsquo;s continuing education program development, planning, funding, implementation, and reporting.
