Overview

Responsible for answering a high volume of telephone calls, redirecting calls to appropriate physicians or staff, scheduling (new) patient appointments, reviewing and building patient demographic information in IDX, scanning records into Allscripts.



Responsibilities

    Meet and greet all incoming patients, screening arriving visitors to the office all in a polite and courteous manner.
  • Assist patients in completion of all paperwork, HIPPA forms and updates as well as setting up appointments with their Primary Care Provider
  • Confirm patient's insurance eligibility, copy card and confirm their PCP. Update demographics at every visit (name, dob, address, phone number and email address)
  • Collect co-pays and fees for services. Ensuring receipts are given to patient.
  • Arrive patient in the electronic health record for nursing staff to be able to triage patient.
  • Balance collections each day for next days pick up by EVMS Medical Group.
  • Review and complete all EHR tasks that are assigned to you and your appropriate team.
  • Sending Task including detailed information to clinical staff and physicians.
  • Supplement office staff by assisting with photocopying, various office tasks, re- supplying work stations.
  • Work with other staff when needed to find charts, process requests for medical records, scanning, scheduling patients for appointments, special procedures and the required referrals.
  • Maintains a polite and professional demeanor at all times
  • Promote "Follow My Health" to all patients not currently enrolled.
  • Assist patients with payment plans, indigent services and Medicaid processes
  • Answers all incoming telephone calls from patients, hospitals, doctor offices and other medical facilities
  • Schedule all appointments with designated Provider
  • Directs calls to appropriate party
  • Assist patients with information on medication refills, lab orders and referrals
  • Pre registering patients to establish new care including confirm patient's insurance. For established patients update all information in the computer
  • Calling patients and scheduling appointments from reminder and bump lists.
  • Flag all deceased patient and notifying appropriate party
  • Work with other staff when needed to process requests for medical records, scheduling patients for appointments and special procedures.
  • Handle all incoming patient paperwork
  • Participates in department staff meetings and other quality improvement activities required and volunteered for.
  • Maintains a polite and professional demeanor at all times.
  • Check out patients after appointment, to ensure patient has a follow up prior to leaving
  • Inform patients of "Follow My Health" (Patient Portal); Sending daily invites to all NEW/ESTABLISHED Patients
  • Handle all office mail
  • Assist in scanning documents
  • Assist in processing requests for medical records
  • Assist with urgent referrals and imaging
  • Perform "other" duties as assigned by the supervisors and/or Physicians.

Performs other duties as assigned, according to the individual departmental needs.



Qualifications

High school diploma/GED with excellent written and verbal communication skills. Must be highly organized with outstanding customer service attitude and have the ability to adapt and work under pressure. Prior experience working in a medical office setting highly desired but not required.
