Job Summary:



The Division of Pulmonary Sciences and Critical Care is seeking applications for an Academic Services Professional. This University Staff position will assist with the coordination of the Pulmonary Fellowship & Educational Programs within the Division of Pulmonary Sciences & Critical Care Medicine in the Department of Medicine, including the Graduate Experience for Multicultural Students (GEMS) and HARP-BIO-PRIDE programs. In conjunction with the Fellowship & Education Program Coordinator (PC) and under the direction of the Division Administrator (DA), GEMS Program Principal Investigator (PI), and Business Services Program Manager (BSPM), this position will assist with general administrative activities for the fellowship and other divisional education programs. This includes supporting the Program Director (PD)'s/Associate PD's as needed, assisting with procurement, reimbursement requests, general administration for PSCCM's educational programs, and assisting the PC with assigning and tracking fellow & faculty evaluations.

Key Responsibilities:



  • Fellowship and Educational Program administration including, but not limited to, creating, and distributing minutes for meetings, maintaining fellow and core faculty scholarly activity data for GME compliance and ACGME annual update, assist with data gathering for accreditation activities, assist with event planning.
  • Coordinate all aspects of the GEMS and HARP-BIO-PRIDE summer programs, including but not limited to, updating the program websites and databases, developing, and implementing processes to encourage greater application response, coordinate mentor-matching with help from program directors, compiling information and metrics of performance, advising scholars throughout the program, and running orientation.
  • Administrative functions including, but not limited to, human resources functions (background checks, I-9, badge application, payroll, etc. in conjunction with PSCCM HR personnel), programmatic activities (order food, meeting scheduling and reservations, expense reports for reimbursement, etc.).



Work Location:



Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:



Minimum Qualifications:

Intermediate Level:



  • Bachelor's degree in education, business, liberal arts, or a directly related field from an accredited institution.
  • One (1) year of professional level experience in higher education supporting medical students, residency, and/or fellowships.


Senior Level:



  • Bachelor's degree in education, business, liberal arts, or a directly related field from an accredited institution.
  • Two (2) years of professional level experience in higher education supporting medical students, residency, and/or fellowships.


A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:



  • Three (3) years of general clerical or administrative service experience, which included one year of experience in an academic, medical, or health care setting.
  • Experience working in an academic environment, with an emphasis on administrative operations.
  • Experience working with UCD software systems (MedHub, CU Concur Travel & Expense, CU Marketplace, Virtual EMS Scheduling, CU HCM, HR, and Payroll processes).
  • Event planning experience.

Anticipated Pay Range:



The starting salary range (or hiring range) for this position has been established as:

Intermediate Level: $48,989 - $62,314

Senior Level: $52,961 - $67,367

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
