The Department of Epidemiology is seeking anAcademic Program Coordinator. Specific Duties & Responsibilities
- Support departmental T32 programs with NCBI publication PMC compliance for departmental training grants.
- Support departmental T32 programs with meetings and event scheduling.
- Support departmental T32 programs with NRSA data tables, alumni tracking, ERA X-Tract compliance, and federal RPPR reporting.
- Support departmental T32 programs with compliance of training grant forms, including NRSA 2271 statement of appointments, NRSA termination reports, and the collection and mailing of NIH payback agreements as required.
- Support departmental T32 programs with management of new institutional training grant proposals and competitive renewals, including collecting faculty tables, biosketches, and institutional letters of support.
- Support preaward functions for student awards: fellowship proposals, training sessions, dissemination of materials, education about policies and best practices, intake, COEUS data.
- Coordinate student and trainee travel funds: disseminate information to students, educate about JHU travel policies, process reimbursement requests through CONCUR.
- Serve as CONCUR delegate for trainees with expense reimbursement processing for student organizations and Track Activities with non-research departmental training grants and fellowships.
- Support with management of PhD student salaries and wages: student and trainee funding data, letters for offers of admission, letters for work appointments, letters of acknowledgement for dissertation support.
- Support departmental Tracks with meetings and event scheduling, journal clubs, seminars, and Track Activities.
- Support departmental Tracks with coordinating admissions processes and administering annual comprehensive exams.
- Communicate with academic and administrative leaders, faculty, students, other staff, and external contacts on behalf of the department.
- Manage student facilities and space requests.
- Manage application materials, admissions statistics, current student data.
- Support course management for large courses and Track Activities: academic calendar, term schedules, course schedules, course deadlines, program deadlines, course enrollment, lab enrollment, new student inquiries.
- Support departmental academic programs with annual documentation and events.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years administrative/academic related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Strong attention to detail, creative problem-solving, organizational, analytical, and time-management skills.
- Excellent technology literacy, word processing, and spreadsheet skills with Microsoft Suite, Adobe Acrobat, Zoom, survey building software, cloud storage; ability to seek, embrace and learn new technology.
- Highly collaborative, team player.
- Ability to use discretion and diplomacy when working with sensitive and privileged items, maintain confidentiality, and exercise good judgement.
